When we started planning our wedding, I truly believed the venue price was the big number.
You know the one -the quote that makes you swallow hard, re-open your spreadsheet, and say, “Okay… if we can make this work, everything else will fall into place.”
It didn’t.
What actually happened was something far more subtle - and far more stressful.
The hidden costs started creeping in.
Not all at once. Not dramatically. Just little line items. Add-ons. “Optional extras.” Requirements we didn’t know were requirements.
And then - a week before the wedding - we were told there was a high chance of rain.
If we wanted to protect our outdoor reception area, we’d need to hire a stretch tent cover.
Cost? An additional R10,000.
We hadn’t budgeted for that.
The Illusion of the “All-Inclusive” Venue
When venues present their pricing, it often feels comprehensive. But what we learned is this:
Venue hire and total venue cost are two very different things.
Here are some of the hidden costs that surfaced for us:
1. Overtime Fees
We assumed our package covered the full day. It didn’t.
If the event ran even 30 minutes over - staff, security, bar service - we paid extra per hour.
2. Staffing & Service Charges
Waiters weren’t included.
Bar staff weren’t included.
Setup and breakdown staff? Also separate.
And then there was a service fee percentage added on top.
3. Corkage
We thought bringing our own wine would save money.
But corkage per bottle added up quickly - especially when wanting to ensure there’s enough for everyone.
4. Generator / Power Backup
Load shedding contingency.
If we wanted peace of mind? Additional cost.
5. Furniture Upgrades
The venue had chairs.
But not those chairs.
So suddenly: chair hire, delivery, collection.
6. Cleaning Fees
Deep cleaning deposits.
Breakage deposits.
Waste removal charges.
7. Weather Contingencies
This was the one that caught us off guard.
Our ceremony and reception were planned outdoors.
It was summer. We felt safe.
Then the forecast changed.
The venue let us know that if we wanted a stretch tent installed as backup, it needed to be secured immediately.
Another R10,000.
In that moment, you don’t feel like you have a choice.
You can’t gamble on rain with 100 guests and a full reception setup.
So you say yes.
And your budget stretches again.
The Emotional Cost No One Mentions
The money is one thing.
But what really got me was the emotional whiplash.
Every time we thought we were “done” financially, something else appeared.
It’s not that venues are intentionally misleading.
It’s that the base price rarely reflects the real-world execution of a wedding day.
What I Wish We Had Asked Upfront
If I could go back, I would ask these questions immediately:
- What happens if it rains? What are the exact costs?
- What is the overtime rate and when does it start?
- What staff is included specifically?
- Are there corkage fees?
- What deposits are refundable vs non-refundable?
- Is setup and breakdown included?
- Is power backup required or optional?
Because clarity early on protects your peace later.
The Lesson That Changed How I See Wedding Planning
That R10,000 stretch tent wasn’t just a tent.
It was a lesson.
Venues are emotional decisions.
They’re aesthetic.
They’re romantic.
But they’re also logistical machines with moving parts and fine print.
The couples who stay sane are the ones who:
- Plan for 10–15% contingency.
- Read contracts slowly.
- Ask uncomfortable questions.
- And assume the “venue price” is only the starting point.
